ABOUT THE ROLE
As the Finance & Operations Junior Associate, Indonesia at Purpose, you will manage and coordinate financial, administrative and operational aspects for our Indonesian team to ensure the successful delivery of projects with our clients / partners. Working jointly with the locals Project Manager and Project Lead(s) - with oversight from our Finance Director in India - you will be responsible for managing the day-to-day financial operations of our projects and operational matters for the team.
We have a preference for candidates based in Jakarta or Yogyakarta as a second option. We may explore other locations for strong candidates. This role requires fluency in Bahasa Indonesia and English.
This is a Full Time Freelance / Contract role for a duration of 6months, with a strong possibility of extension or conversion to employment. This is a rolling recruitment which means that the job will stay open until we find the right candidate, but encourage you to apply as soon as possible.
RESPONSIBILITIES
Vendor / Contractor Contracts Support :
- Review SOWs payment terms, tax applied etc. in coordination with designated legal expert
- Collect relevant documentation from vendors, contractors (I.e : W8 form, bank details etc.)
- Execute contracts in Dropbox sign
- Keeping track of all the vendors / contractor contracts in Indonesia by keeping Indonesia contracts & payments tracker up-to-date
- Filing of all vendors / contracts agreement
- Flagging to Program / Project Managers (PMs) about agreements expiration dates where renewal or extension is required.
- Liaise with vendors to ensure they understand contract terms
Payments (Vendor / Contractor) :
Coordination with contractors / vendors on all matters related to invoicing and ensuring invoices include all the relevant information and they are submitted on timeWorking with global Finance team for processing via Western Union / ConveraKeeping track of all the vendors / contractor payments in Indonesia by keeping Indonesia contracts & payments tracker up-to-dateCreate expense / advance reports and liaise with the team to ensure they provide receiptsTravel & IT Support :
Supporting all travel related payments and bookings and purchase of supplies for offline events / meetings.Point of contact for coordination with the Global IT team for contractors IT set up and for procurement of laptops for team membersFunders Invoice & Agreements :
Providing support to Program Manager during the agreement signing phase, and support on providing required documents to clients as per their requirements.Management of Credit Card Payments :
Coordinating with Program Manager and staff members for making payments using Credit cardsAdministration
Supporting PMs on the coordination of project eventsOther general administrative tasks assigned by PMsBudget tracking & reporting
Support finance and PMs on keeping budget trackers up-to-date by inputting timesheets and expensesSupport finance and PMs on budget reports for funders. Budgeting, reporting, forecasting & data analysisABOUT YOU
