Responsibilities :
Project Management Planning & Collaboration
Assist in the creation and implementation of project plans and Terms of Reference (ToRs) in collaboration with project leads.
Monitor project progress, maintain tracking tools, and support the facilitation of regular project review meetings.
Ensure cross-functional collaboration to ensure alignment of deliverables, activities, and interdependencies across departments and external partners.
Coordinate with Legal for contract reviews and compliance requirements, and with Public Affairs for stakeholder engagement and regulatory updates.
Assist in identifying project risks and issues, and support mitigation planning to help keep projects on track.
Lead the preparation of documents for project proposals, tenders, and bid submissions.
Contribute to the development and refinement of Project Management Office (PMO) tools, templates, and processes.
Administrative & Internal Coordination
Coordinate internal communication between project teams, departments, and management to ensure consistent information flow and alignment
Maintain and update department database and shared folder, including projects documentation.
Assist in resource planning and coordination to support cross-functional collaboration, including for the logistic and travel arrangements.
Support procurement and budgeting processes by gathering documentation, preparing forms, obtaining approvals and liaising with relevant departments.
Liase with external parties (contractors, vendors, consultants) for service execution and reporting, not limited to organize the alignment for exploration samples delivery arrangements.
Support the team regarding the employees administrative record such as leave and TOIL records, required training proposal for the team
Requirement :
Bachelors degree in Business Administration or Project Management or Engineering, or a related field.
Minimum 35 years of experience in project coordination, administrative support, or similar roles.
Experience in the mining sector is preferred.
Strong knowledge of project management tools and MS Office (Excel, PowerPoint, SharePoint; JIRA).
Strong understanding of project management methodologies and has certification is an advantage.
Familiar with financial processes such as handling claims, managing advances, preparing forecasts, and maintaining documentation control.
Ability to draft and review projects plans, budgets, and procurement documentation.
A good understanding of legal / regulatory compliance related to mining projects would be an advantage.
Demonstrates solid project and planning management abilities, with strong coordination skills that support effective execution.
High attention to detail and excellent organizational skills are essential, along with the ability to multitask, prioritize responsibilities, and meet tight deadlines.
