The Project Administrator provides essential administrative and secretarial support to ensure smooth project operations. Key responsibilities include managing meetings, preparing Minutes of Meeting (MoM), organizing project documentation, coordinating communication, and overseeing office supply needs. This role requires strong organizational skills, attention to detail, and the ability to support multiple tasks in a fast-paced environment.
Responsibilities
- Schedule and coordinate project meetings and appointments
- Prepare agendas and take accurate Minutes of Meeting (MoM)
- Distribute and follow up on action items from meetings
- Maintain organized project documentation and filing systems (digital & physical)
- Draft and manage project correspondence (emails, letters, memos)
- Support in preparing reports, logs, and presentation materials
- Assist with general administrative tasks
- Manage office supplies
- Coordinate office maintenance and repairs
Requirements
Minimum Diploma or Bachelor's degree in Business Administration, Management, or a related field1–3 years of experience in administrative or project support roles (experience in construction, architecture, or engineering projects is a plus)Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook)Strong skills in organizing meetings, taking MoM, and maintaining documentationExcellent verbal and written communication skillsHigh attention to detail and strong organizational abilitiesAble to handle multiple tasks and work under tight deadlinesFamiliar with filing systems, document control, and office supply managementProfessional, proactive, and able to work both independently and as part of a team
