RINA is currently recruiting for a RINA Consulting Tender Advisor to join its office in Jakarta within the RINA Consulting Tender Division.
Mission
The Tender Advisor plays a crucial role in supporting the overall tender management process, contributing to the timely and successful submission of tenders by ensuring compliance and accuracy in documentation.
Key Accountabilities
1. Tender Documentation :
- Assist in the preparation of tender documentation, ensuring accuracy, completeness, and compliance with tender specifications.
- Collaborate with internal teams to gather required information for inclusion in tender submissions.
2. Timeline Management :
Work closely with the Tender Manager and senior staff to manage timelines for each tender, ensuring that deadlines are met.Monitor and communicate progress to relevant stakeholders.3. Compliance Assurance :
Ensure that tender submissions adhere to tender compliance procedures, legal and regulatory requirements.Collaborate with legal and compliance teams to address any issues related to tender compliance.4. Data Management :
Manage and update the Tenders Database, ensuring that it is accurate and up-to-date.Archive all tender documents systematically for future reference.5. Vendor Qualification :
Support the qualification process for the company and its subsidiaries on the Vendor List.Assist in managing the qualification procedures through Customer Suppliers Portals.6. Research and Information Gathering :
Monitor notices and outcomes of public and private tenders.Conduct research to gather relevant information about potential tender opportunities.7. Communication :
Communicate with internal teams and stakeholders to gather necessary information for tender submissions.Assist in maintaining effective communication channels throughout the tendering process.8. Quality Assurance :
Contribute to the quality assurance process by conducting reviews of tender documents.Collaborate with team members to ensure the accuracy and quality of tender submissions.Education
Bachelor’s Degree in Economics or Business Administration Finance ManagementMaster’s Degree in Law
Qualifications
At least 3-5 years of experience in a tendering or procurement role, ideally in a technical or engineering-focused industry.
Experience in preparing and reviewing tender documentation for complex projects, including compliance checks and proposal management.Familiarity with public and private sector procurement processes and tendering regulations.Experience working with cross-functional teams to compile tender submissions and ensuring alignment with client requirements and specifications.Understanding of contract management and negotiation processes related to tender submissions and awards.Strong knowledge of tender management processes including evaluation criteria, contractual terms, and documentation requirements.Familiarity with procurement systems and software (e.g., SAP Ariba, Oracle Procurement Cloud, or similar platforms).Understanding of legal and compliance requirements within the tender process, such as contract law, government regulations, and industry-specific standards.Knowledge of costing and pricing strategies for tenders, ensuring that all financial aspects are carefully evaluated and included.Ability to review and ensure the technical accuracy of the tender documentation, working closely with technical teams for input and validation.Competencies
