Welcome to Motel
Our story began during a road trip in the 1990s, where our founders, Will and Andy, travelled across America collecting vintage items while living out of motels. They started purchasing vintage clothing in the USA and selling it wholesale, which eventually led to the creation of stores. From there, they began designing reworked vintage pieces, and thus, Motel was born.
Over 30 years and a team of 200+ people later, every piece of clothing we make is created with the same spirit of fun, freedom and adventure as the road trip that first defined the brand. We’re still ambitious and independent, but now we’re a global team - we work from an operational base in Worcester, a design studio in London and a creative studio in Bali.
The role
The Production Planning and Procurement Manager is responsible for overseeing the efficient coordination of production planning and procurement of materials. This role ensures that production schedules are met, resources are available, and supply chain processes run smoothly to meet design, quality, cost, and delivery targets.
Main tasks & responsibilities
Production Planning
- Coordinate with production supervisors and team leads for capacity planning to plan procurement requirements
- Liaise with Procurement & Factory planners to book Fabric capacity and ex-factory dates
- Oversee Fabric Flows to make sure we are never out of stock
- Own the Time & Action (T&A) calendar for each style, coordinating design, sourcing, suppliers and factory to ensure samples, materials, and bulk production flow smoothly and ship on time
- Track order status and escape risks to management
- Keep Department management updated on order status and risks
Cost of Goods (COG) Planning
Prepare and maintain seasonal COG plans (forecasted spend on fabrics etc)Work with Accounts to manage procurement budgets and cost trackersAnalyse variances between planned vs. actual cost; recommend savingsMonitor margin calculations for new developmentsTrack raw material usage and waste to ensure efficiencyGenerate production performance reports and analyze trends (KPIs)Procurement & Purchasing
Work with the PRODUCTION SYSTEMS MANAGER to oversee the creation of purchase orders and manage order confirmations, deliveries, and invoicesMonitor inventory levels and place orders to maintain optimal stockOversee accurate procurement records and supplier databasesAdministration & Coordination
Monitor & maintain accurate records for production, procurement, and inventory to cross reference with our ERPCollaborate with finance, logistics, and warehouse teams to streamline operationsAssist in budgeting, cost control, and process improvement initiativesPrepare reports and documentation for audits and management reviewsProcess & Reporting
Maintain accurate data in ERP / Google Sheets (styles, POs, costs, approvals)Produce weekly management reports on production, COG, and supplier KPIsLead continuous-improvement projects (waste reduction, lead‑time shortening)Team & Supplier Management
Supervise Purchasing Panner & Junior Merchandiser handling fabric & trim buyingProvide clear priorities, feedback, and trainingCommunicate with overseas sourcing agents on supplier performance, pricing, and lead timesAbout you
5 years previous experience within either Production planning, Procurement & Purchasing control, Merchandising management, within a fashion retail environmentStrong commercial awareness and timeline planningExcellent communication and influencing skills to manage cross‑functional stakeholdersStrong analytical mindset; confident working with production & purchasing reports, WSSI, and stock management systemsHighly organised with the ability to prioritise and manage multiple projects to firm deadlinesProficient in Microsoft Excel / Google SheetsA proactive, solutions‑focused team playerAbility to work independently and as part of a teamWhat's in it for you?
